CHIKARA Recruitment Privacy Notice

1. Who we are

This Recruitment Privacy Notice explains how Cognitive Futures, trading as CHIKARA (“CHIKARA”, “we”, “us” or “our”), collects, uses, stores and protects personal information when you apply for an opportunity with us.

This notice applies to applications submitted through vacancies.chikaraaihq.com and through other recruitment channels we may use, including email, professional networking platforms, recruitment partners, referrals and direct applications.

For data-protection purposes, the organisation responsible for determining how your application information is processed is:

CHIKARA also operates across the wider SADC region and may work with remote contributors. The exact location of a role is stated on each vacancy where applicable.

2. The information we collect

Depending on the opportunity and stage of recruitment, we may collect identity and contact information (name, country, city, email, phone, WhatsApp), professional information (CV, employment history, skills, qualifications, portfolio, professional profiles, references), and application information (forms, statements, interview responses, assessments, correspondence).

Where appropriate and lawful, we may obtain information from referees you nominate, professional or educational institutions, publicly available professional information, recruitment partners, or verification services. We will not conduct intrusive checks merely because information is publicly available.

3. Information we ask you not to provide

Please do not include unnecessary sensitive personal information in your CV or application unless specifically requested for a lawful recruitment purpose — for example national ID numbers, passport numbers, bank details, medical records, detailed health information, political or religious information, or biometric information.

4. Why we use your information

We use recruitment information to receive and administer applications, assess fit for a role, communicate with applicants, arrange interviews and assessments, evaluate skills and qualifications, obtain references, verify information where appropriate, make recruitment decisions, communicate outcomes, comply with legal obligations, and protect the security of our recruitment systems.

We will not sell applicants’ personal information. We will not use application information for unrelated advertising or marketing without an appropriate legal basis.

5. Our legal basis

The legal basis for processing depends on the circumstances and the law applicable to the particular applicant and recruitment activity. This may include taking steps at your request before entering into a working relationship, performing a contract, complying with legal obligations, pursuing legitimate interests where permitted, consent where legally required or appropriate for optional processing (such as a talent pool), and other lawful bases under applicable data-protection legislation — including Zimbabwe’s Cyber and Data Protection Act where it applies.

Consent is not the sole foundation for ordinary job applications. Where consent is relied upon, it will be specific, informed and capable of being withdrawn.

6. Recruitment decisions and artificial intelligence

CHIKARA develops and researches artificial intelligence. Where technology, including AI-assisted tools, is used in recruitment, it will be used only for appropriate and defined purposes (for example administrative assistance, document organisation, summarisation or matching against stated vacancy requirements).

Unless specifically disclosed and legally permitted, we will not rely solely on automated processing to make significant recruitment decisions about you. Candidates may contact us with questions about how technology was used in connection with their application.

7. Who may access your information

Your application may be accessed by authorised members of the CHIKARA recruitment team, relevant hiring managers, project leads, technical assessors, approved service providers processing information on our behalf, professional advisers where necessary, and regulators or law-enforcement bodies where legally required. Access is limited according to role and necessity.

8. Service providers

We may use third-party providers for hosting, storage, application forms, email, communications, security and recruitment administration. Where a third party processes personal information on our behalf, we take appropriate steps so that processing is governed by suitable contractual and security arrangements.

9. International transfers

Cognitive Futures is established in Zimbabwe. CHIKARA may also operate in Botswana, across the SADC region and with remote contributors. Application information may therefore be stored or processed in a country different from where you live. Where applicable law regulates international transfers, we will use an appropriate legal mechanism and safeguards.

10. How we protect your information

We use reasonable technical and organisational measures appropriate to the nature of recruitment information, including access controls, authentication, encryption where appropriate, secure hosting, restricted administrative access and controlled deletion. No system can be guaranteed completely secure. If we become aware of a personal-data incident affecting your information, we will respond in accordance with applicable law.

11. How long we keep your information

We do not retain recruitment information indefinitely. Default operational periods (subject to applicable law and review) include:

These are operational defaults, not claims that any statute mandates those exact periods. The underlying principle is that data should not be kept longer than necessary.

12. Unsuccessful applications & future opportunities

If you are not selected, we will normally delete or securely dispose of identifiable recruitment information when the retention period expires, subject to limited records needed for legitimate administrative or legal purposes.

If you separately agree to join a talent pool, we may retain your application for future opportunities. This is optional. You may withdraw by contacting support@chikaraaihq.com.

13. Your rights

Depending on the law applicable to you, you may have rights to access, correct, delete, object to or restrict certain processing, withdraw consent where processing is based on consent, request information about processing, exercise rights concerning automated decision-making where applicable, and complain to the relevant data-protection authority (in Zimbabwe, POTRAZ as Data Protection Authority under the Cyber and Data Protection Act, where applicable).

14. Children

Our recruitment services are intended for people legally able to participate in employment, internship or related opportunities. Where an opportunity may lawfully involve a person under 18, we will apply appropriate safeguards required by applicable law.
